Terms and Conditions

1. By a) enrolling a dog with The Dogworks,  b) using our dog day care and/or our dog walking services,  c) agreeing to a tour of our facilities you confirm that you have read and agreed to these terms and conditions, including the payment and cancellation policy.

2. Before any service commences, there will be an initial consultation meeting. A client personal details form for your pet will be created and kept by The Dogworks. A signature will be required from the client before any service will commence.
Fees are stated and agreed on during your initial consultation.  

3. You are responsible for supplying a suitable secure dog collar and lead for your dog’s time with The Dogworks. When using our facilities, your dog must be put on said lead before exiting your vehicle in the car park and must remain so throughout the handover. We would advise a harness in the interest of the safety of your dog, particularly if your dog is nervous or timid.

4. If you need to drop off or collect your dog either before or after our opening hours an additional charge will apply and you will be required to arrange this in advance.

5. All pets under the care and supervision of The Dogworks are required to be in good general health and vaccinations must be up to date – you will be required to complete an online registration form with up to date details of emergency contacts, vaccinations, microchip, allergies, behaviour etc. Vaccinations must include Canine Distemper, Infectious Canine Hepatitis, Leptospirosis, and Canine Parvovirus. Kennel cough is advised but currently not essential. Proof of this will be required at your initial consultation.
As of April 2016 your dog must be microchipped and registered with Petlog or similar, and wear a collar and tag with current contact information.

6.  The Client agrees to ensure that their dog/s will be kept up to date on all vaccinations, de-worming and de-fleaing. Proof of vaccination records will be required at the time of initial consultation.

7. The Dogworks may act in the Client’s absence as guardian of their dog and may perform or take any action which they deem necessary in order to protect and keep in good health the Client’s dog.

7.1. In the case of an emergency, The Dogworks will contact you on the given emergency number/s as soon as possible to discuss the situation. If you are un-contactable and veterinary attention is required, we reserve the right to prioritise the needs of your pet and will take your pet to the veterinary practice designated in our client personal details form. In the event of a life- threatening situation, we will take your pet to the closest veterinary practice to our location.  The  Client will take responsibility for any costs which may be incurred, by either veterinary or other, as a result of any damage, accident, or sickness caused to or by their dog and will pay any such costs or expenses on demand. 

8.  Dogs must be sociable with other dogs and people. If your dog is not able to be walked with other dogs, or requires individual attention please tell us in advance and your dog can be walked on its own.
As the pet owner, you must disclose any behaviour or health problems which may make the dog unsuitable for walking or daycare, including, antisocial behaviour or aggression, during the initial consultation. We have a zero tolerance policy when it comes to aggressive behaviour. We cannot accept dogs with the following issues: constant barking, resource guarding, marking, or any history of escaping.

8.1. Failure on the part of you/the owner to disclose any matter which might render the dog unsuitable for dog walking or daycare will be deemed a fundamental breach of our agreement and services will be terminated.  Payment must be made for the full booking regardless of the time spent with us.

9. For safety reasons and for the wellbeing of your dog and the dogs in the group, no more than 4 dogs will be walked together at any one time, unless dogs are from the same household.
All dogs will remain on a lead unless we are confident in the dog’s recall and a prior agreement has been reached and written permission has been received from you the owner.

9.1 DOG WALKING ONLY - Walks will last for approximately 1 hour starting from the beginning of the walk, unless otherwise arranged.  We reserve the right to alter the walking time should we deem necessary and in the best interests of the safety of your dog (e.g. weather conditions, injury, age of dog etc.) Puppies under the age of 9 months will only be walked for a maximum of 45 minutes, dependant on age and size. 
9.2 We reserve the right to reduce the duration of a walk in extreme heat where the animal's welfare may be at risk. However the agreed length of the walk will be carried out as a visit in cooler conditions. The client will be notified at the time of the walk if this occurs.


10. The Dogworks will provide a clean and safe environment with professional, qualified carers to look after your dog. Please be aware that with a day care service and the interaction of dogs and strange people there are certain risks involved.

11. Bitches in season will not be accepted for either walking or daycare. If you think your bitch is coming into season please inform us immediately. We reserve the right to suspend your dog’s day care for up to three weeks.
Entire males will only be accepted after initial consultation and we reserve the right to terminate any services if any signs of aggression or behavioural issues are shown. 

12. No information regarding the client or animal will be released to anyone outside of The Dogworks.  We respect the privacy and safety of all our clients and their pets.
All keys and personal information about the owners and pets will be kept in a secure place, with keys being locked separately in a safety box. 

13. The Client’s dog may be transported with other dogs in a Dogworks vehicle. The Client agrees that The Dogworks cannot be held liable for death or injury to their dog in the event of a motor vehicle accident.

14. The Dogworks will make every effort to continue normal service and all pre-booked pet care in adverse weather conditions. We do however not expect our pet carers to put their lives at risk to attend to pet bookings in very extreme weather conditions. We will notify you in cases where we are unable to reach your pet.

15. The Dogworks may hold in possession the keys to the Client’s home and the Client is responsible for making arrangements with its own insurers with this regard. If we are unable to gain access to your pet on scheduled days, depending on circumstance, service may still be chargeable.


PAYMENT & CANCELLATION POLICY

16. Full payment for services (agreed either at time of booking or subsequently) is to be made within 7 days of receipt of invoice or, by the date specified on the invoice. Time for payment shall be of the essence of the Contract. The preferred method of payment is collection by bank transfer.  Cheques or cash are not accepted, however The Dogworks may add an administration fee of 2.5% to invoices not collected by bank transfer. If the Client fails to make any payment due to The Dogworks under the Contract by the due date for payment, then the Client shall pay a surcharge of 10% per week on the overdue amount. This surcharge will continue to accrue on a weekly basis from the due date until actual payment of the overdue amount. Full payment details are included on the invoice.

17. The Dogworks reserves the right to suspend provision of services if the Client has failed to pay any sums due by the relevant payment date

18. Free collection and drop off is included within Kilwinning (with a KA13 postcode), a small charge will be added for any pick up and collection outside of this area and will be discussed at time of consultation.

19. If you collect your dog before the confirmed end date and time of their stay you will not receive a refund or partial refund

20. If the Client wishes to cancel any services, they must provide notice as soon as possible to The Dogworks and the following cancellation charges shall apply:
• 100% of the value of the booking if cancellation occurs less than 24 hours prior to the start of the provision of Services at the agreed time
• 50% of the value of the booking if cancellation occurs between 24 and 48 hours of the start of the provision of Services at the agreed time

21. The Dogworks reserves the right to amend or change any of the enclosed terms and conditions at any time.  We also reserve the right to decline or terminate a booking at any time.

INFORMATION WE MAY COLLECT FROM YOU
We may collect and process the following data about you:
Information that you provide by filling in forms on our site thedogworks.biz (our site). This includes information provided at the time of registering to use our site or requesting further services. We may also ask you for information if you report a problem with our site.
If you contact us, we may keep a record of that correspondence.
We may also ask you to complete surveys that we use for research purposes, although you do not have to respond to them.
Details of transactions you carry out through our site and of the fulfilment of your orders.
Details of your visits to our site including, but not limited to, traffic data, location data, and other communication data, whether this is required for our own billing purposes or otherwise and the resources that you access.

IP ADDRESSES AND COOKIES 

We may collect information about your computer, including where available your IP address, operating system and browser type, for system administration and to report aggregate information to our advertisers. This is statistical data about our users' browsing actions and patterns, and does not identify any individual.
For the same reason, we may obtain information about your general internet usage by using a cookie file which is stored on the hard drive of your computer. Cookies contain information that is transferred to your computer's hard drive. They help us to improve our site and to deliver a better and more personalised service. They enable us:

To estimate our audience size and usage pattern.
To store information about your preferences, and so allow us to customise our site according to your individual interests.
To speed up your searches.
To recognise you when you return to our site.

You may refuse to accept cookies by activating the setting on your browser which allows you to refuse the setting of cookies. However, if you select this setting you may be unable to access certain parts of our site. WHERE WE STORE YOUR PERSONAL DATA

We keep and store your data in the UK. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.
All information you provide to us is stored on secure servers. Any payment transactions will be encrypted. Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.
Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. The Act gives you the right to access information held about you. Your right of access can be exercised in accordance with the Act. Any access request may be subject to a fee of £10 to meet our costs in providing you with details of the information we hold about you.
